Press day or pop-up: they need different rooms
A press day runs two to four hours, has an invited list of journalists, editors and content creators, and lives or dies on whether those guests can photograph the product without queuing. A pop-up runs longer, sometimes several days, and usually wants footfall.
That difference decides the venue. A pop-up built on walk-in traffic has no business in an industrial park in DIP 2, because nobody walks past. A studio charges for time. A hotel ballroom or a restaurant private room charges for time plus a spend commitment on food and drink, which is where the real money sits. For a two-hour press day with 30 people and a coffee cart, the studio route is usually cheaper by a wide margin. For a seated dinner with wine, it is not even a contest, and the venue wins.

How much floor a media wall and the people shooting it need
A step and repeat wall eats more room than its own width, because the photographers have to stand back far enough to fit a person into the frame without distortion.

Now put that against real ceilings. Our cyclorama has a floor of 7.5 by 5.5 metres and 5.5 metres of height, so a 10 ft wall stands against the long side and still leaves roughly four metres of shooting depth, which is more than any press wall needs. The container zone has a 2.4 metre ceiling, so a 10 ft printed wall physically does not go in there, and even an 8 ft wall touches the roof. That is the kind of thing worth checking before the print order goes out, not after.
A cheaper move: skip the printed banner. On the cyclorama the seamless white or black corner photographs cleaner than any creased fabric wall, and a floor-standing logo sign carries the branding. Ask us to hold the cyclorama for the media corner and use a second zone for everything else.
How many guests fit, and how to zone the room
Photo studios in Dubai generally take somewhere between 20 and 50 guests for an event, and the ceiling is not the floor area so much as how many people can stand still while others move through with cameras. The media corner takes the wall or the seamless background, with 2.5 to 3 metres of clear floor in front that nobody is allowed to occupy. The product display sits somewhere a phone camera can get close to it from two sides, so a plinth or a table with room to walk around, never against a wall in a corridor. The guest area needs somewhere to put a glass down, which sounds trivial until 30 people are holding drinks and a camera. And one quiet zone for the interview or the founder soundbite, away from the speaker.
The single most common layout mistake I see is the drinks table placed in the shooting lane of the media wall. Every guest queueing for a coffee then stands in the background of every photo taken that hour. Our themed sets are separate rooms rather than one open hall, which makes this easier to solve than it is in a bare event space. Walk the run of show with us before you sign off the floor plan.
Light and sound when the guests are the ones shooting
Here is the thing brand teams get wrong. Studio flash, including the Profoto heads in the cyclorama and the Godox heads in the other photo zones, fires only when a photographer triggers it. Your guests are shooting on phones, and their phones will record whatever continuous light is in the room. Plan your press day around continuous fixtures, not flash: the Godox, Aputure, Nanlite and Astera units in our video kit throw constant light, which is what a phone camera actually needs, and they come with a whole-complex video booking at no extra charge.
Daylight matters too. Most of our zones have 12 metre windows and a lot of natural light, which is beautiful at 15:00 and gone by 19:00. Only the cyclorama has full blackout, black curtains that cover everything including the floor and cost nothing extra. So a daytime press day gets soft window light for free, and an evening one means you own every photon in the room and should budget an hour of setup for it.
On sound, assume you are bringing the speaker and the microphone unless we confirm otherwise, and tell us in advance if there is a speech. A room with high ceilings and hard surfaces is reverberant, so put the address in a dressed zone with soft furniture rather than in the middle of an empty cyclorama, where a voice bounces. As for the neighbours, DIP 2 is an industrial area with no flats next door, which is a genuine advantage: Dubai’s widely quoted residential guidance of around 55 dB by day and 45 dB after 20:00, plus the rule that entertainment noise should not be audible inside homes between 22:00 and 06:00, is what constrains venues sitting under apartments. Our doors are open 10:00 to 22:00 daily anyway.

Parking, load-in and catering
Parking sits at the door, which for a press day is worth more than a valet line, because your guests arrive within a 20 minute window and nobody wants to circle. Give us the expected car count so the area is clear.
Load-in is where budgets slip. The studio opens at 10:00, so if your florist wants to be in at 10:00 for a 12:00 door, those hours are part of your booking, not a favour. The clock starts when your first supplier arrives, not when the guests do. Two hours of setup, two hours of event and one hour of strike is a five hour booking, and pretending otherwise is how brands end up rushing the pack-down. Catering works if you keep it cold and prepped. Canapés delivered ready, a coffee cart, water and mocktails, all fine. Hot cooking, open flame and anything that needs a service kitchen, not fine. Our kitchen zone is a set built to photograph, not a commercial kitchen you can cook a menu in, and it books on the video rate. Alcohol is the hard line: in Dubai only premises or caterers holding the right licence from the Department of Economy and Tourism may serve it, and a photo studio is not a licensed venue. Plan a dry event, or move the drinks portion to a licensed venue afterwards.
Book your setup and strike hours in the same message as the event hours, and the day stops being tight.
What a rented studio will not let you do
None of this is unusual, and every studio in the city runs a version of it. Confirm the details with us in writing when you book.
Nothing gets drilled, nailed or screwed into walls, and nothing adhesive touches the cyclorama surface. Street shoes stay off the white cyclorama floor. Glitter, confetti and loose powder need agreement first, because they live in a studio floor for months. Open flame, sparklers and smoke machines are a fire alarm conversation before they are a creative one. Set dressing does not migrate between zones without asking, and furniture that looks light is often the piece that scratches the floor. Overruns past 22:00 need the night booking, arranged before the day, not at 21:50.

Do you need a permit for a private press event in Dubai
Short version: an invite-only press day with no tickets, no public advertising and no performance is generally treated as a private gathering and sits outside the event permit route, while anything ticketed, publicly promoted or featuring performers goes through Dubai’s Department of Economy and Tourism e-permit process. Guidance published by permit agents and by DET itself puts entertainment, sport, charity, religious and business events inside the permit path, and consistently flags public-facing, ticketed or performer-led events as the trigger.
Where a press day gets grey is external attendees. Your guests are outside your company, which is one of the markers that pushes an event towards needing a permit, even though the invite-only, unticketed shape pushes the other way. So treat it this way: if you are selling anything, promoting the event publicly, booking a DJ or a live act, or running it as an open conference, ask DET directly before you commit to a date, and build the lead time in. Content performed at licensed events also goes through approval, which is another reason a DJ set changes the paperwork.

Insurance and who carries what
The space is our risk. Your people, your equipment and your guests are yours. Damage to the room is on the booker. Deposit and damage terms depend on the zone and the size of the booking and get confirmed on WhatsApp before the date is held, so ask for them in writing rather than assuming. Two practical habits cut most of the risk: one named person on cable management for the whole event, and one on the door with the guest list. How to book and how far ahead
Weekend slots and the run-up to big retail moments in Dubai go first, so for a press day with a media wall, a floor plan and suppliers, three to four weeks of lead time is comfortable.
