Four terms decide whether a studio booking costs what you expected: what the deposit is for, how overtime is counted, who pays when something breaks, and what you lose if you cancel. Across Dubai the usual shape is a booking deposit that goes toward your rate rather than sitting separately, overtime billed at the hourly rate and only available if the next slot is empty, renter liability for damage beyond normal wear, and a cancellation window measured in hours. Numbers differ from studio to studio, so get yours in writing before you pay anything.

Why studios ask for a deposit at all
A deposit exists for one reason: an empty slot cannot be resold after the fact. A Saturday afternoon on the cyclorama that nobody shows up for is revenue that does not come back on Sunday.
That is the whole logic, and it explains why deposit terms tighten as the date approaches. Most Dubai rental studios ask for a booking deposit of somewhere between a quarter and the full value of the slot, and in the majority of cases that money is credited against your rate rather than returned to you afterwards. That money is part of your booking, paid early, not an extra fee on top of it.

Prepayment and damage deposit are different money
Renters mix these two up constantly, and the confusion causes most of the awkward conversations I have had over five years.
A prepayment is part of your rental fee, paid early. It disappears into the invoice. A damage deposit is a refundable hold against the condition of the space, and it is supposed to come back to you untouched. One is revenue, the other is collateral. When a studio says «deposit» without specifying which, ask.

Most hourly photo bookings in Dubai never involve a separate damage bond. It appears when the risk profile changes: a rigged set, a paint or powder shoot, a two-day video occupation, heavy furniture coming through the door. If a studio does hold one, the question that matters is not the size of it but the release condition. «Returned after the space is checked» and «returned within seven days» are two different promises, and only one of them tells you when your money comes back.

How overtime gets counted, and why it costs what it costs
Overtime is charged at the standard hourly rate here, and it is available only when the slot behind you is open. If someone is booked at 16:00, your 14:00 to 16:00 session ends at 16:00.
The part renters rarely think about is the rounding. Studios count overtime three different ways: by the minute, in 30-minute blocks, or by rounding up to a full hour. The difference is real money. Twelve minutes over on a AED 350 zone costs AED 70 if it is billed by the minute, AED 175 if it rounds up to the next half hour, and AED 350 if it rounds up to a full hour. Nobody advertises this. Everybody has a policy. Ask which one applies before your shoot day, not during it.
Studios charge for the overrun because the cost runs past your extra minutes. A zone needs resetting between bookings: props back to position, backdrop cleaned or swapped, lights returned to their stands. Run twenty minutes long and the next renter starts late in a room that has not been reset, which turns one late finish into two unhappy bookings.
The cheap fix is arithmetic you can do before you book. A buffer hour on a standard zone is AED 350. A model, a stylist and a makeup artist rebooked for another day because you ran out of light costs several times that, and the date you actually needed might be gone. Renters who plan generously almost never talk to me about overtime at all.

Who pays for a burnt backdrop, a bent stand or a marked cyclorama
Normal wear sits with the studio. Damage beyond normal wear sits with the renter. That line is standard across rental studios everywhere, and it is the sentence you should expect to see in any set of terms you sign in Dubai.
Here is the practical version from our floor, and it is duller than people expect. Dramatic breakage is rare. What actually costs us money is cumulative and small: black scuff marks on the white cyclorama floor from street shoes and dragged furniture, gaffer tape pulling paint off the cove when someone rips it up at speed, and light stands that go over because a heavy modifier was mounted high without sandbags. In five years those three account for most of what we repair. The arguments, when there are any, are almost never about who broke a light. They are about marks on white paint and whether they were there before.
That is also why we ask people to keep street shoes off the white and to report anything on the spot. A mark photographed at the start of your session is a fact. A mark discovered after you leave is a discussion.
What a cyclorama repaint actually involves
Our cyclorama is 8 by 6 metres, and with the cove and the back wall the painted surface runs past 100 square metres. Painters in Dubai quote roughly AED 25 to 60 per square metre for a multi-coat matte finish, which puts a full repaint in the low thousands of dirhams before anything else is counted.
Then there is the part renters never see on an invoice. You cannot patch a cyclorama. A patched area cures at a slightly different sheen and reads as a tonal blotch under studio light, exactly where the camera is pointing. Full surface, or the fix shows. That means the zone is out of service while paint dries, and a cyclorama sitting empty for a working day is AED 700 per two-hour block of bookings that cannot be taken.

Treat those as reported market bands for Dubai rather than a fixed rate card. Flag anything unusual in your concept when you book the 8x6m cyclorama and most of this never becomes relevant.
What you actually lose when you cancel or move a date
Rescheduling is nearly always easier to arrange than a refund. That holds across the Dubai market, and it holds here.
The common shape locally is a 48-hour window. Cancel earlier and studios typically refund, move the date, or hold your payment as credit. Cancel inside the window and the deposit is usually gone, because at that point the slot is unlikely to sell again. Some studios deduct a small processing percentage even on early cancellations. Our exact window and terms come to you on WhatsApp when you book, since they vary with the booking, and I would rather you had the real number from us than a figure copied off a review site.
What people underestimate is the cost that has nothing to do with the studio. Cancel a Saturday shoot 12 hours out and you may keep your deposit under a generous policy, then still pay a model’s cancellation fee, a makeup artist’s half day, and a stylist who already pulled the wardrobe. The studio line is often the smallest number in that list.
One habit removes most of this risk: book the date the moment your talent confirms it, not the week before. Weekend and evening slots go first, and moving a booking is far simpler when there is still somewhere to move it to.

Insurance: what the studio covers and what stays yours
The studio’s insurance covers the studio’s risks. It does not cover your camera, your rented lenses, or your crew’s mistakes.
Assume this split unless a studio tells you otherwise in writing:
Your gear is yours. If a laptop walks out of a shared space or a lens hits a concrete floor, that is your equipment insurance or your pocket. Rented gear from a Dubai rental house usually comes with its own liability terms attached to your name, and those follow you into any studio. The building, its fixed sets and its lighting are the studio’s responsibility to insure against fire, faults and ordinary operational risk, but that cover does not extend to a renter’s negligence, which is precisely why the damage clause exists.
For a standard photo booking here nobody asks for a certificate of insurance. Larger corporate and agency productions sometimes carry public liability cover as part of their own compliance, and if your client requires a COI naming the venue, tell us at the booking stage so we can sort out the paperwork before the shoot day rather than in the doorway.
The written question to send any studio is short: does your policy cover renter equipment, and do you require me to carry my own liability cover?
Cleaning: where reset ends and a charge begins
Every rental includes a reset. Sweeping, props back in place, lights checked, backdrop tidied. That is our job between bookings and you do not pay extra for it.
A charge starts where reset turns into restoration. Coloured powder that settles into a matte white cove, body oil on upholstery in the living room set, paint on a floor, confetti in ventilation grilles, food that stains a surface: those take specialist cleaning, sometimes a repaint, and always a longer changeover that eats the next booking. That is what you would be charged for, and it is the reason the policy exists at all.
Advance notice changes the entire equation. A powder shoot we know about gets the right zone, protective covering, and a longer gap after you. The same shoot sprung on us at 15:00 on a Saturday with a booking behind you becomes a problem for three people. Nothing on our list of messy shoots is banned. Almost all of it just needs a sentence in the booking thread.

Get these eight answers in writing before you pay
Screenshot the replies. A WhatsApp thread with confirmed terms is the cleanest paper trail a small rental ever needs, and it has settled every ambiguity we have had.

Any studio that answers all eight quickly is a studio that has thought about its own operations. Vagueness on question four or question six is the signal to slow down.
